An established company is seeking a hands-on and experienced Operations and Business Manager to oversee daily operations and provide leadership across office administration, sales support, financial processes, human resources, and project operations. This position is critical to the company's long-term succession plan, as it will allow the owners to step back from day-to-day operations, making tenure and proven leadership experience essential. Bilingual Spanish is helpful but not required.
The ideal candidate will bring a track record of managing multiple departments within industries like construction, industrial contracting, HVAC, mechanical systems, or dust collection, paired with strong business acumen and the ability to drive operational efficiency, profitability, and customer satisfaction.
Key Responsibilities
Operations Oversight:
- Manage daily business operations, ensuring efficiency, profitability, and high customer satisfaction.
- Develop and enforce operational policies, procedures, and performance standards.
- Oversee coordination between sales, project management, installation teams, vendors, and administration.
- Monitor project schedules, resource allocation, and overall workflows.
- Identify and implement process improvements to boost operational efficiency and reduce costs.
- Ensure compliance with safety regulations, labor laws, and company policies.
Sales Leadership & Support:
- Support and guide the sales team in meeting revenue goals and pipeline growth.
- Oversee sales strategies, forecasts, customer opportunities, and pricing agreements.
- Assist sales representatives with major contract negotiations and client relationship management.
- Participate in strategic business development efforts and high-priority client meetings.
- Drive accountability through KPIs and sales team metrics.
Financial Management:
- Oversee financial operations, including accounts payable/receivable, job costing, payroll, and cash flow.
- Review financial statements, budgets, P&L reports, and operational metrics for strategic decision-making.
- Partner with external financial professionals to ensure best practices in accounting and compliance.
- Support annual budgeting, forecasting, and reporting activities while ensuring timely and accurate reporting.
Human Resources Management:
- Oversee recruiting, hiring, onboarding, training, retention, and employee development.
- Ensure compliance with employment laws and maintain positive employee relations.
- Manage benefits administration, performance evaluations, and workforce planning.
- Foster a positive workplace culture that promotes collaboration, productivity, and employee satisfaction.
Customer & Vendor Relations:
- Maintain strong, long-term relationships with customers, suppliers, and subcontractors.
- Address escalated customer concerns and oversee efforts to uphold service excellence.
- Negotiate vendor agreements and assess supplier performance.
- Monitor and improve customer satisfaction through process enhancements.
Qualifications
Required Skills/Experience:
- Bachelor's degree in Business Administration, Management, Finance, HR, or a related field (equivalent experience may be considered).
- Minimum 5-10 years of management experience in industries like construction, industrial services, manufacturing, HVAC, or mechanical systems.
- Demonstrated success managing multiple departments and leading teams in a fast-paced, cross-functional environment.
- Strong understanding of accounting principles, financial reporting, budgeting, and payroll processes.
- Solid experience managing HR operations and maintaining employee compliance standards.
- Exceptional leadership, communication, problem-solving, and decision-making abilities.
- Proficiency in Microsoft Office Suite and business management software.
